These Terms and Conditions govern your use of the Hearthline website and the engagement of our services. Please read them carefully. By using our website or proceeding with any service, you agree to these terms. If you do not agree, please do not use our website or services.
1. Definitions
- "Hearthline", "we", "us", "our" — refers to the family records support practice operating under the name Hearthline, based at 5 Jalan Tuanku Abdul Rahman, 50100 Kuala Lumpur, Malaysia.
- "Service" — refers to any of the administrative coordination services described on our website: Document Map Consultation, Family Records Workshop Series, and Whole-Household Archive Engagement.
- "User", "you", "your" — refers to any person using our website or engaging our services.
- "Content" — refers to all material published on the Hearthline website, including text, images and downloadable materials.
- "Agreement" — refers to the written scope document agreed with each household before a service engagement begins.
- "Deliverable" — refers to any written, printed or digital output produced by Hearthline as part of a service, as described in the service specifications.
2. Acceptance of these terms
By using this website or submitting an enquiry, you confirm that:
- You are at least 18 years of age or have the consent of a legal guardian
- You have the legal capacity to enter into an agreement
- You have read, understood and agree to these Terms and Conditions
Submitting an enquiry through our website does not constitute a booking or an agreement to engage services. A written scope document must be agreed before any service engagement begins.
3. Service description and scope
Hearthline provides administrative coordination services: document mapping, records organisation, scanning, indexing, labelling and the production of orientation documents and related written materials. Our services are described in full on our Solutions page.
Our services do not include: legal advice, financial advice, tax advice, document interpretation, acting on a client's behalf with any third party, or any other regulated professional service. Nothing produced or communicated by Hearthline constitutes regulated professional advice of any kind. Users are encouraged to consult qualified professionals for any matter requiring regulated advice.
Services are currently available to households in Kuala Lumpur and the immediate surrounding area. Geographic scope for individual engagements is confirmed during the enquiry stage.
4. User responsibilities
When using our website or engaging our services, you agree to:
- Provide accurate and complete information in enquiries and during service engagements
- Use the website and any content or materials only for lawful purposes
- Not use our website in any way that could harm its operation or the experience of other users
- Not reproduce, distribute or commercially exploit our content without written permission
- Not misrepresent our services or the nature of administrative coordination to third parties
5. Service delivery terms
Service delivery is governed by the written scope document agreed with each household. Specific terms include:
- Sessions are scheduled by mutual agreement. Rescheduling requests should be made with at least 48 hours' notice where possible.
- Engagements can be paused or ended at any point. Fees apply to completed sessions and agreed deliverables only.
- Hearthline does not guarantee any outcome beyond the delivery of the specified administrative outputs.
- Any changes to the scope of a service must be agreed in writing before they take effect.
6. Intellectual property
All content on the Hearthline website — including text, images, design and layout — is owned by Hearthline and protected by applicable Malaysian intellectual property law. You may not reproduce, distribute or create derivative works from our content without written permission.
Deliverables produced for a household during a service engagement — maps, indexes, orientation documents, registers — are produced for that household's own use. Hearthline retains no proprietary interest in household documents or the content of deliverables. However, Hearthline retains copyright in templates, workbooks and other materials provided as part of the service, which are licensed for personal household use only and may not be resold or distributed.
7. Payment terms
Published fees are stated in Malaysian Ringgit (RM) and are inclusive of all materials and deliverables described in each service. Any additions outside the published scope are agreed in writing before they affect the total.
- Payment arrangements are confirmed at the time of booking
- Fees for completed sessions are non-refundable except where Hearthline is unable to fulfil a session
- Where a service engagement ends before completion, fees for incomplete sessions will not be charged
8. Disclaimers
Our website and services are provided "as is". While we take care to ensure that information on our website is accurate and current, we make no warranty that it is complete, current or free from errors.
Hearthline does not warrant any specific outcome from the use of our services. Administrative coordination supports households in organising their records; it does not alter the legal or financial status of those records.
Nothing on this website or communicated by Hearthline constitutes legal, financial, tax or other regulated professional advice. For such matters, consult a qualified professional.
9. Limitation of liability
To the extent permitted by Malaysian law, Hearthline's total liability to you in connection with any service or use of our website is limited to the fees paid for the specific service engagement in question.
We are not liable for any indirect, consequential, special or incidental loss arising from use of our website or services, including loss of data, loss of income, or decisions made on the basis of administrative outputs produced by Hearthline.
10. Termination
Either party may end a service engagement at any time by written notice. On termination, Hearthline will provide any deliverables completed to that point. Fees for completed sessions remain payable. Hearthline reserves the right to decline or discontinue any engagement where the scope has moved beyond administrative coordination into regulated territory.
11. Governing law and disputes
These Terms and Conditions are governed by the laws of Malaysia. Any dispute arising from them shall be subject to the exclusive jurisdiction of the courts of Malaysia.
Where a dispute arises, we ask that you contact us in the first instance at [email protected] so that we may attempt to resolve it informally before any formal process is initiated.
12. Changes to these terms
We may update these Terms and Conditions from time to time. The "Last updated" date at the top of this page will reflect any changes. Material changes will be communicated to active clients. Continued use of our website after changes become effective constitutes acceptance of the updated terms.
